The short version
- You can use Owecrew without an account. A crew only needs a name for you, and it can be a nickname.
- We keep what you put into a crew (names, bills, items, who owes who) so everyone in it sees the same thing.
- Receipt photos are read and then thrown away. We don't store them.
- No ads, no ad trackers, and we never sell your data.
- Want something deleted? The host can delete a whole crew in the app, or email support@owecrew.com.
Who we are
Borne Labs Ltd runs owecrew.com and the Owecrew apps, and is the data controller for the personal data described here. For anything to do with your data, email support@owecrew.com.
What we collect
Your display name
When
When you start or join a crew
Why
So your crew knows who had what and who owes who.
Bills, items, prices, who claimed what, payments marked as paid
When
When you or your crew add them
Why
This is the service: working out the split and keeping it in sync for everyone.
Receipt photos
When
When you scan a receipt
Why
To read the items and prices. See "Receipt photos and AI" below.
Email address, and an ID from Google or Apple if you sign in with them
When
Only if you create an account (needed for Plus)
Why
To sign you in, link your subscription, and email you about your account.
Purchase records (plan, dates, status, an order reference)
When
When you buy Premium
Why
To switch Premium on for the right crew or account. We never see your card details.
Usage counts
When
When you use Premium features or scans
Why
To enforce free tries and fair-use limits, and to see which features people use. These are counts per crew or account, not a record of what you did.
A scrambled (hashed) form of your IP address
When
When you scan a receipt or use AI features
Why
To stop abuse, like scripted scanning. It rotates daily and can’t be turned back into your IP address.
Messages you send us
When
When you email support
Why
To help you.

We don't ask for your phone number, contacts, location, or bank details. Owecrew works out who owes who, but you pay each other outside the app.
Crews are shared with whoever has the link
Anyone with a crew's link or QR code can open it, see its members, bills and balances, and add to it. That's how guests join without an account. So only share the link with the people you're splitting with, and don't put anything in a crew (like a bill title) that you wouldn't want them to see.
Receipt photos and AI
When you scan a receipt, the photo is sent to an AI model that reads the items and prices, and the result comes back to your crew. The model runs on Cloudflare (Workers AI). For Premium double-checks and the bill assistant, the photo or bill text goes through Cloudflare's AI Gateway to Google's Gemini API.
We don't save the photo. It's used for the one request and then discarded. We use these providers on paid terms under which they don't use your content to train their models. If AI isn't available, your phone reads the receipt itself and nothing is sent.
The bill assistant and table round work the same way: what you type or say is sent along with the bill, and the reply comes back as changes you can see. We keep the changes, not the conversation.
If you speak to the assistant instead of typing, your phone or browser turns your voice into text using its own speech recognition (for example Apple's or Google's), under their privacy terms. We only receive the text.
Our legal bases (UK GDPR)
- Contract: to run the service you asked for: crews, bills, scanning, sign-in and Premium.
- Legitimate interests: to keep Owecrew secure, prevent abuse, enforce fair use, and understand in aggregate which features get used, so we can improve them.
- Legal obligation: to keep purchase records for tax and accounting.
Who we share it with
We use a small number of providers to run Owecrew. They process data for us, only to provide their service:
Cloudflare
What for
Hosting, database, security, and the AI model that reads receipts.
Google (Gemini API)
What for
Premium receipt double-checks and the bill assistant.
Lemon Squeezy
What for
Taking payments. They’re the seller of record and handle your card and billing details under their own privacy policy.
Resend
What for
Sending sign-in emails.
Google and Apple sign-in
What for
Only if you choose to sign in with them.
| Provider | What for |
|---|---|
| Cloudflare | Hosting, database, security, and the AI model that reads receipts. |
| Google (Gemini API) | Premium receipt double-checks and the bill assistant. |
| Lemon Squeezy | Taking payments. They’re the seller of record and handle your card and billing details under their own privacy policy. |
| Resend | Sending sign-in emails. |
| Google and Apple sign-in | Only if you choose to sign in with them. |
Some of these providers are based in or use servers in the US. Where your data leaves the UK, it's covered by the UK–US data bridge or the UK's standard contractual clauses.
We don't sell or rent your data, and we don't share it with advertisers. We'd only disclose it if the law required us to.
Cookies and storage on your device
We don't use advertising or tracking cookies, so there's no cookie banner. We do use:
owecrew_account
What it does
Keeps you signed in, if you have an account.
How long
180 days
oc_app
What it does
Remembers you use the app, so owecrew.com opens it straight away.
How long
1 year
Local storage
What it does
Remembers which crews you’re in and who you are in each, and whether you’ve seen the intro.
How long
Until you clear it
| Name | What it does | How long |
|---|---|---|
| owecrew_account | Keeps you signed in, if you have an account. | 180 days |
| oc_app | Remembers you use the app, so owecrew.com opens it straight away. | 1 year |
| Local storage | Remembers which crews you’re in and who you are in each, and whether you’ve seen the intro. | Until you clear it |
These are needed for Owecrew to work, and clearing them just signs you out or forgets your crews on that device.
How long we keep it
- Crews and everything in them: until the host deletes the crew, or you ask us to. We may delete crews that haven't been used for two years.
- Receipt photos: not kept.
- Accounts: until you ask us to delete yours.
- Sign-in links: they expire within minutes and only work once.
- Purchase records: six years, as UK tax law requires.
Your rights
You can ask to see, correct, delete or get a copy of your personal data, and you can object to or ask us to restrict how we use it. Email support@owecrew.com and we'll respond within a month. A crew's host can also delete the whole crew and everything in it from the app.
If you're unhappy with how we've handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Children
Owecrew isn't aimed at children, and you need to be at least 13 to use it. Buying Premium needs someone aged 18 or over.
Changes
If we change this policy, we'll update the date at the top. If a change is significant, we'll say so in the app or email account holders before it takes effect.
